Once you have your auspicious date, the very next step is securing your wedding venue! The venue will likely take up the largest portion of your wedding budget, and it dictates almost every other choice you will make—from the guest count to the decor and the catering.
However, when you visit a site and the sales coordinator starts pitching their beautiful promotions and pouring complimentary champagne, it is incredibly easy to get overwhelmed. Couples often forget to ask about the crucial logistical details that can make or break the budget and the day itself.

1. Capacity, Space Utilization, and Flow
Don't just look at the aesthetics; make sure your guests won't be crammed and that the event will flow smoothly. A room that looks huge when empty can suddenly feel claustrophobic once tables, a stage, a dance floor, and a photo booth are added.
- What is the maximum capacity for our chosen style? Ask for specific numbers based on Chinese Banquet (round tables), Cocktail, or Buffet style. (Work out how many tables your guest count needs first, then compare).
- How spacious is the pre-function area (foyer)? This is where guests arrive, sign the guestbook, take photos at the backdrop, and mingle. If the foyer is too small, a line at the photo backdrop will block the entrance.
- Is the venue exclusive to our wedding? If it is a hotel, are there other weddings or corporate events happening in the adjacent ballroom? If so, how do they separate the sound and the guest flow?
- Is there a holding room (bridal suite) near the ballroom? The bride will need a place to change dresses, retouch makeup, and take a breather. Does it have a private bathroom?
2. Accessibility and Logistics
Your guests need to get to the venue and navigate it comfortably.
- How many parking spots are guaranteed for our guests? Is parking free, or do we need to stamp their tickets? Do you offer valet service?
- Is the venue wheelchair and stroller accessible? Are there elevators near the ballroom, or only escalators? Where are the closest restrooms?
- Where is the loading dock? Your vendors (decorators, bands, caterers) need to know how far they have to carry heavy equipment to get to the ballroom.
3. Food, Beverage, and Minimum Guarantees
Food is what guests remember the most! Most hotel venues operate on a "Minimum Guarantee" (MG)—the minimum amount you must spend or the minimum number of guests you must pay for.
- What is the Minimum Guarantee for this specific ballroom? If our guest count falls below the MG, how can we use the remaining balance? (Many venues allow you to convert the deficit into food vouchers, hotel stays, or extra food stations.)
- Does the per-head (or per-table) price include beverages? Are soft drinks and mixers included?
- If drinks run out, how are we charged? We highly recommend asking for a free-flow (unlimited) package to avoid a massive surprise bill at the end of the night.
- Do you offer a complimentary food tasting session? For how many people? When does it usually happen?
- Can you accommodate special dietary requirements? Ask about kids' meals, vegetarian, vegan, and halal options, and how the pricing is adjusted for these.
4. The "Bring-in Fees" (Crucial!)
This is where hidden costs sneak up on you and destroy your budget. A "bring-in fee" (or corkage) is a charge the venue applies if you hire an outside vendor instead of using their in-house services.
- Is there a bring-in fee for outside florists or decorators? Some premium hotels charge hefty fees (sometimes over $1,000 / 30,000 THB) just to bring in your own decorator.
- What is the corkage charge for alcohol? Do you charge per bottle for wine and liquor? Can we pay a flat fee for unlimited bottles? (Knowing roughly how many bottles you need makes this easier to negotiate.)
- Are there fees for outside bands or light & sound equipment?
- Do you charge for bringing in our own photographer, makeup artist, or wedding planner?
Tip from Wedly: The best time to negotiate is before you sign the contract and pay the deposit! Once they have your money, they have no incentive to waive fees. Try asking them to waive these bring-in fees in exchange for booking a higher-tier food package. Many venues are willing to compromise to close the deal.
5. Setup, Decoration, and Technical Rules
Ensure a smooth process for the vendors you hire.
- What time can our decorator access the venue for setup? If it's a lunch wedding, they might need access at 2 AM. Do you charge extra for early load-in?
- Are there any decoration restrictions? Ask specifically about sparklers, heavy dry ice, bubble machines, real candles, or attaching things to the walls.
- What is your power supply capacity? If you are hiring a full live band with a heavy lighting and LED screen setup, the venue must have enough electrical phase capacity, or the power will trip.
- What equipment is provided for free? Do you provide easels for portrait photos, a money box for red envelopes, LCD projectors, and Thai water-pouring ceremony sets?
6. Weather Contingencies (For Outdoor Venues)
If you are planning a garden or beach wedding, this is non-negotiable.
- What is the exact backup plan for rain?
- Do we have to pay extra to reserve a backup indoor room?
- At what time on the wedding day do we have to make the final call on whether to move the event indoors?
7. Payment, Contracts, and Post-Event Rules
Always be clear on the financial commitments.
- How much is the initial deposit? What is the payment schedule for the remaining balance?
- Do you accept credit cards for the final payment? Is there a credit card surcharge?
- What is your postponement or cancellation policy? What happens if there is an unforeseen emergency?
- What time do we have to clear out the room? Do you charge an hourly overtime fee if the after-party runs late?
- Can we leave our props and leftover alcohol in a storage room overnight and pick them up the next morning?
